Work Package 1: Project Management

Objectives and Scope

WP1 ensures efficient and effective coordination of the project through the application of best practices in EU project management. The focus is on managing scope, time, budget, and quality, while fostering strong collaboration between partners.

Governance and Management Structure

Management Groups:

  • Management Group (MG): Responsible for strategic coordination, quality assurance, and project evaluation.
  • Quality Assurance, Monitoring & Evaluation Group (QM&EG): Led by Aegean, includes one expert from each partner organisation.

Key Responsibilities:

  • Development and implementation of a Quality Management Plan.
  • Regular internal and external evaluation (initial, ongoing, final).
  • Monitoring project activities through predefined qualitative and quantitative indicators.
  • Preparation of periodic evaluation reports.

All groups work in close collaboration with each partner’s institutional contact to ensure administrative alignment and capacity support.

Mitigation Strategies:

  • Minimum two partners per country to safeguard eligibility.
  • Complementary partner capacities allow reallocation of tasks.
  • Ongoing scope, budget, and performance tracking to detect early warning signs.

A detailed Risk Management Plan will be developed at project start.

 

 

Digitalisation and Remote Collaboration

To support collaboration and continuity, the project will adopt advanced digital tools and hybrid work models:

Digital Tools:

  • Cloud-based document sharing and co-creation platforms.
  • Video conferencing and virtual collaboration tools.
  • Private social groups for internal communication.
  • Public project website and social media pages for dissemination.

Digital Learning Methods:

  • Webinars and online teaching/training.
  • Blended learning models.
  • Open Educational Resources (OER).
  • Online resource repository.
  • Hybrid workshops and brainstorming sessions.

IICT (Bulgarian Academy of Sciences) will lead digital tool selection and training across all partners.

Green Practices

The project supports the European Green Deal by integrating sustainable practices:

  • A dedicated Green Codex will guide eco-conscious behaviour during all project phases.
  • Reduction of physical mobility through digital tools.
  • Encouragement of clean energy sources for Robo STEM components (e.g. solar).
  • Development of environmentally conscious educational materials.
